Hire Process
The hire process involves the student, hiring manager and Student Employment. Each step is an integral part of the process and must be completed with accuracy to stay in compliance with all hiring guidelines.
1. Hiring Manager – Creates and submits a job requisition.
2. Student Employment – Reviews and posts the job requisition.
3. Student – Applies for up to five jobs at a time.
4. Hiring Manager – Screen and interview candidates, then submits the offer in Workday.
5. Student Employment – Generates the job offer and submits to the student for review.
6. Student – Acknowledgement of offer acceptance or decline in Workday.
7. Student Employment – Process the hire and assigns the online orientation.
8. Student – Completes onboarding tasks and online orientation.
9. Student Employment – Finalizes onboarding and issues the yellow card to the student.
10. Student – Provides the yellow card to the hiring manager and begins work.
Clearance Forms
Current student employees are required to complete a clearance form for the following:
· Transferring or adding a new job at BYU–Hawaii.
· Transferring jobs between BYU–Hawaii and PCC.
· Adding a new job either at BYU–Hawaii or PCC as Co-Employment.
A clearance form can be obtained at Student Employment or on the BYU–Hawaii HR Website in the employment section of forms.

I-9 Form
All new hires must complete the form I-9 before they can begin to work either at BYU–Hawaii or at the Polynesian Cultural Center. The form I-9 is to verify eligibility to work in the United States. As a part of the I-9 process, prospective employees are required to provide original acceptable documents to prove identity and work authorization. No photocopies will be accepted.
Taxes
To qualify for FICA exemption, domestic students must be enrolled in six credits during Fall, Winter and Spring Semesters. International students are FICA exempt. They must be enrolled in school full-time.
Domestic students who are enrolled in less than six credits, on an approved semester leave or working during the semester breaks are subject to FICA taxes.

Orientation
All student employees will be assigned online orientation, which must be completed as part of the hire process.
Yellow Card
The yellow student hire certification card is required prior to starting employment. A yellow card is confirmation that all hiring requirements have been completed and cleared by Student Employment. New Student hires or rehires must present the yellow card to the managers. Managers must review the information on the yellow card before they allow new student hires and rehires to begin work.
Social Security Card
All students will have 30 days from their hire date to present a copy of their social security card. This is a separate process from completing the I-9 form.
New International Students will need to apply for a social security number. Employment can begin while in the process of obtaining a social security number. To receive more detailed guidance on this procedure, please make sure to contact Student Employment for further information.
