Instructions for Adding Vaccination Documentation to Workday
Fully vaccinated employees will be able to submit a copy of their vaccine documentation in Workday beginning Thursday, August 12.
Employees who have received the COVID-19 vaccine should use the instructions below to document that they've received the vaccine, add the date(s) on when the vaccine was administered, and upload their vaccination records. We recommend employees do this even if they've previously sent vaccination information to the Safety Office.
Each employee will need an image (scan, photo, or PDF) of their vaccination documentation with the vaccination dates and vaccination types to complete this task.
- Log in to Workday.
- Select the announcement called "COVID-19 Vaccination Tracking."
- Select the "Update COVID-19 Vaccination Status" button.
- A new tab called titled "Edit Worker Effective-Dated Custom Object" will open. Search for and select your name in the "Worker" field.
- Select "OK."
- Add today’s date in the effective date field.
- Select "OK."
- A pop-up will appear. Select the "Edit Additional Data" button. Alternatively, you will receive a task in your Workday inbox to update your vaccination status. Open your inbox by selecting the file folder box on the upper right corner of the screen and select the notification titled "Edit worker Additional Data Event."
- Make your choice in the "COVID-19 Vaccination Status" field.
- Add the type of vaccination you received as your first dose to the “1st Vaccination Type" field.
- Add the date for which you received your first dose to the “1st Vaccination Date" field.
- If you received a vaccination that only has one dose, skip to step 14. If you received a second dose, add the type of vaccination you received as your second dose to the “2nd Vaccination Type" field.
- Add the date for which you received your second dose to the "2nd Vaccination Date" field.
- Select the "Submit" button.
- A pop-up will appear. Select the "Review Documents" button. Alternatively, you will receive a task in your inbox to upload your vaccination documentation. Open your inbox by selecting the file folder box on the upper right corner of the screen and select the notification titled “Edit Worker Additional Data Event."
- Add the scan, photo, or PDF of your vaccination documentation to the upload field by using the "Select files" button or dropping the file in the documents box.
- Select “Submit.”
