Employees at BYU-Hawaii who are classified as non-exempt personnel must record daily hours worked.
Each department should have 1 primary timekeeper and 1 alternate. Timekeepers must be regular full-time employees with authorization to have access to employee time records.
Duties of the timekeeper include revising employee time sheets, noting any missed punches or accrued leave time to be taken. Updated printouts should be provided to the department supervisor and the employee for final approvals and signatures prior to sign off. Reports should be kept on file within each respective department and are subject to periodic audits.
To Be In Compliance:
1. Be sure all punch details and/or request for leave forms are signed by both the employee and their supervisor. The final report must be signed by the Department Head/Chair. (you may want to purchase a stamp that says Approved by:_________________ Date:____________ so approvals will be easy to identify on the final report.)
2. Edits must be accompanied by a valid reason and must have supervisor approval (initial) before the timekeeper can make any changes to the employee timesheet.
3. Run punch details separately (by employee) for confidential purposes.
4. File by employee or by pay period which ever is more convenient for your department.
